HILTON Privacy Policy for the ITB website

1.         Subject-Matter of this Privacy Policy

We are happy about your interest in our website for the ITB. The protection of your personal data (hereinafter in short “Data”) is a major and very important concern for us.

Accordingly, in this document, we would like to provide you with comprehensive information about (i) which Data is collected when you visit our website and use our services available there, (ii) how this Data is then processed or used by us, and (iii) which accompanying technical and organizational safeguards we have adopted in this respect.

2.         Responsible Body / Service Provider

The responsible body within the meaning of the German Federal Data Protection Act (BDSG), and at the same time the service provider within the meaning of the German Telemedia Act (TMG), is München Park Hilton Zweigniederlassung der Hilton International LLC, Am Tucherpark 7, 80538 Munich (cf. also our Imprint).

The responsible body is a subsidiary of the Hilton International LLC and part of the Hilton Group (hereinafter in short “HILTON”).

3.         Collection and Use of Your Data

The scope and type of collection and use of your Data differs depending on whether you only visit our website to retrieve information or if you wish to use the services offered by us and therefore register yourself and log in with a user account:

a.         Use for Information Purposes

It is not necessary to enter personal data in order to use our website for mere information purposes.

Rather, in this case, we only collect and use your Data to the extent it is automatically transmitted by your web browser. This includes in particular:

–           date and time of the retrieval of one of our websites

–           time and date of the retrieval of one of our internet pages

–           your browser type

–           the browser settings

–           the operating system used

–           the site most recently visited by you

–           the transmitted data volume and the access status (file transmitted, file not found       etc.) as well as

–           your IP address.

With the exception of the IP address, we only collect and use this data in non-personal form in case of a visit for information purposes. This is done in order to allow the retrieval and use of the web pages requested by you. We only save the IP address for the duration of your visit; there is no analysis involving personal data.

b.         Use of our services

To the extent you wish to use the services offered by us on our website, such as arranging a meeting with one of our representatives, it is required to log in as a registered user. Which Data is collected and used for this as well as by using the different services is described as follows:

Registration and Login/ Your user account at

To create an account you have to register by choosing a password and entering your name and email address.

The collection and use of this Data is performed to verify your registration.

You are free to voluntarily add further information about your company or your phone number; the respective fields are marked accordingly. This Data is used for the following purposes: contacting you regarding short notice appointment updates.

Because we need your name to provide our offered services, in particular the arrangement of meetings, the use of a pseudonym is unfortunately not possible.

For the registration we use the so called double opt-in process, which means, that your registration is only completed when you confirm your registration by clicking on the link included in the confirmation email we send you for this purpose. By using this process we wish to ensure that only you yourself, as owner of the stated email address are able to register. It is required that you confirm your registration within 48 hours after receiving the confirmation email, otherwise your account will be automatically deleted from our database.

After completing the registration, but also at any point later on, you are able to edit and add your profile data (hereinafter “user data”), e.g. with a profile picture, after logging in and entering the menu item “Edit Profile”.

Arrangement of meetings with our representatives

If you wish to arrange a meeting with our representatives at the ITB on our website, you need to choose the respective representative and the desired time and date. Additionally you may enter further information in the free text field.

We save and use this information together with your user data to reserve the date and to optimally prepare for the meeting with you. For this purpose the representative chosen by you, which may be working at a different HILTON company, also receives your Data.

Insofar as you have entered an email address or phone number, we may use this information to coordinate the date and if you have given your corresponding consent, to send you a confirmation of the and further information about HILTON offers by email.

Event registration

If you have received an invitation to on of our events, you may register by using the provided link. In this case we save and use your registration together with your user data for the purpose to reserve your participation at the chosen event.

Insofar as you have given your corresponding consent you will receive a reminder about the event by email.

4.         Account deletion

You can delete your account at any time by logging in with your user name and password, entering the menu item “My Profile” and following the instructions.

5.         Data protection consent

We are only able to provide you with emails about meeting notifications and other information about Hilton offers if we have the consent to use your Data required for this purpose under data protection law. You are able to give that consent during the registration process. Without declaring your consent it is unfortunately not possible to register.

Any consent declaration you may grant can subsequently be revoked at any time with future effect.

You can revoke this consent at any time with effect for the future by deletion of your user account, by clicking on the provided link at the end of each email or by sending us an email at hws [dot] frankfurt [at] hilton [dot] com. In case of revocation we are no longer able to contact you and your user account will be deleted. Though unless you do not expressly state otherwise your already booked meetings with our representatives or your registration to our ITB dinner stays in effect.

If you declare your consent, this includes the use of your name and email address to send you notifications about arranged meetings or the registration for our ITB dinner as well as further information about HILTON offers by email.

The wording of the consent reads as follows:

This consent can be revoked at any time with effect for the future by deletion of your user account, by clicking on the provided link at the end of each email or by sending us an email at hws [dot] frankfurt [at] hilton [dot] com.

To complete the registration process, in a next step we need you to confirm your email address.

You will receive an email with a confirmation link. Please confirm within 7 days by clicking this link, otherwise your registration will be canceled and the entered data deleted.[R1] [WP2]

6.         Use of cookies

a.         What cookies are we using?

We use cookie technology for our website. Cookies are small text files which are sent to your browser by our web server in the course of your visit to your web pages, and which are stored on your computer, tablet or smartphone for a later retrieval.

On our websites we use the following cookies:

The cookie is saved until the end of your session or, in case you choose “Remember me” during the login, it is saved for the duration of 2 weeks. The cookie is a so called First-Party cookie, which is controlled by our website.

[wordpress_logged_in_]      Function: WordPress cookie. When logged in this cookie saves your user name, when you have logged in and who you are. The cookie is saved until the end of your session or, in case you choose “Remember me” during the login, it is saved for the duration of 2 weeks. The cookie is a so called First-Party cookie, which is controlled by our website.

[wordpress_test_cookie]      Function: Checks, whether cookies are activated in your browser or not. It contains the phrase „WP Cookie check“. The cookie is saved until the end of your session and is a so called First-Party cookie, which is controlled by our website

Additional cookies can be placed by third parties using their plugins. Information about these cookies is provided at the respective subsection of this Privacy Policy as well as within the linked Privacy Policies of each third party. We have to point out that we have no comprehensive knowledge and no control about which cookies are used by the third parties, which data is collected and processed by those and for what purposes.

b.         Cookie deactivation

Whether cookies can be placed or retrieved is up to you: you can control this via your browser settings. For example, you can wholly deactivate the storing of cookies in your browser, restrict it on certain websites or configure your browser in such a way that it notifies you automatically as soon as a cookie is to be placed, and requests your response thereto. For technical reasons, it is necessary that you allow the aforementioned session cookies in order to enjoy the full functionality of our website.

7.         Google Maps

We have embedded contents of Google Maps in our website to facilitate orientation on the ITB.

Therefore by visiting our website Google Inc. (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA; „Google“) receives the information, that you are viewing a specific page of our website.

Additionally the Data described under section 3 a) is transmitted. This occurs no matter whether you are logged into a Google account or if you do not have an account. If you are logged into a Google account this Data is associated with your account. If you do not wish this association you are required to log out of your Google account beforehand.

We point out that we have no control over whether Google collects and processes any further Data nor do we know the full extent of the data collection, the purposes or the storage periods. In particular it is possible that Google is using cookies on your computer, tablet or mobile phone for the purpose of customized visualization of Google Maps.

8.         Use of Technical Service Providers

In the course of operating our website, we engage external service providers (e.g. website hosting, support or mailing services) which provide technical support to us that we have carefully selected and entered into contractual arrangements.

These service providers are bound to our instructions are regularly examined.

For email services we are using a service provider from the US. This data processing also is in accordance with current legal requirements; in particular we have entered into a contract with this service provider from a third country which does not offer adequate data protection on the basis of the EU Standard Contractual Clauses to ensure adequate data protection.

Apart from that a transfer of your Data to third parties happens only to the extend which is described in this Privacy Policy or in case we are obliged by law.

9.         Data Security

In addition, we have implemented technical and organizational safeguards in order to protect incoming or collected personal data, in particular against accidental or willful manipulation, loss, destruction or against attacks by unauthorized persons. Our safeguards are continuously improved in accordance with technological progress.

Additionally your personal data is encrypted by SSL/TLS technology to prevent unauthorized access by third parties.
